Privacy Policy
Last updated: 1 November 2026
This policy explains how CoCube collects, uses and protects your personal data, in line with Singapore's Personal Data Protection Act 2012 (PDPA). It covers this website and both of our practices: Healing at CoCube (counseling and coaching with Rohan Mann) and Insights at CoCube (consumer research with Priya Mann).
Who we are
CoCube is COCUBE (UEN 53523728J), a business registered in Singapore and wholly owned by ROOHMI Pte. Ltd. (UEN 202244116G). In this policy, "CoCube", "we" and "us" mean COCUBE and ROOHMI Pte. Ltd.
What we collect
- Contact details you give us when you book, email or message us, such as your name, email address and phone number.
- Booking details collected through our scheduling tool, such as the time you choose and anything you add to the booking form.
- Payment details needed to confirm a bank transfer or PayNow payment, such as the name on the account and the amount. We never ask for your card number.
- Session information for counseling and coaching clients, including what you share with us and the notes we keep to support your care. No audio or video recording of sessions is kept.
- AI-assisted session notes. With your consent, we use Zoom's AI Companion to help write session notes. Zoom processes what's said in the session to create a written summary, which we review and keep as part of your notes. You can say no at any point, before or during our work together, and we'll take notes by hand instead. It won't affect your sessions in any way.
- Business details for Insights clients, such as your name, role, company and project information.
This website doesn't use advertising or tracking cookies. Our hosting provider may use strictly necessary cookies to keep the site secure and running.
How we use it
- To arrange, provide and follow up on sessions or projects.
- To take payments and keep business and tax records.
- To reply to your messages.
- To meet our legal obligations.
We don't sell your personal data, and we don't use it for marketing unless you've asked us to.
Confidentiality of sessions
What you share in counseling or coaching stays confidential. The only exceptions are if someone is in danger, or if a court legally requires us to share information.
Who we share it with
We use a small number of trusted services to run CoCube. They process data on our behalf and only as needed:
- Calendly, for booking
- Zoom, for online sessions and, with your consent, AI-assisted session notes
- Microsoft 365, for email and documents
- WhatsApp, if you choose to message us there
- Cloudflare, which hosts this website
Some of these services store data outside Singapore. Where that happens, we rely on providers that protect personal data to a standard comparable to the PDPA.
We'll only share your information with anyone else if you agree, or if the law requires it.
Testimonials
We only publish testimonials with the client's written permission, in their own words, under the name or initials they choose. You can ask us to remove yours at any time.
Clients under 18
We work with young people under 18 only with the consent of a parent or guardian. Before we start, we agree with both of them how confidentiality will work. Sessions are confidential to the young person. Parents can be told about attendance and general progress, but not the details of what's shared, unless the young person agrees. The exceptions are the same as for adults: if the young person or someone else is at risk of serious harm, or if the law requires us to share information.
How long we keep it
We keep session notes for 7 years after our last session. For clients who were under 18, we keep them until the client turns 25, or for 7 years after the last session, whichever is later. We keep financial records for as long as Singapore law requires. After that, we delete them securely.
Keeping it safe
We take reasonable steps to protect your data, including password-protected accounts with two-factor sign-in, and limiting access to the people who need it.
Your rights
You can ask to see the personal data we hold about you, ask us to correct it, or withdraw your consent for us to use it. Withdrawing consent may mean we can't keep working together, and we'll explain what that means before acting on it.
